Privacy Policy

RecruitOS helps hiring teams organize applications submitted through their Google Forms. This policy explains the information handled by this service. The hiring organization that invited your application is responsible for its recruitment purpose and should provide any additional job-specific privacy information.
What RecruitOS handles
When a recruiter connects a Google Form, RecruitOS reads mapped answers and uploaded CVs. This can include a name, email, phone number, portfolio link, work and education history, skills, and any information a person includes in a CV. RecruitOS also stores recruiter account details, review notes, evidence corrections, next actions, email drafts and delivery status, and service error records.
Why and how it is used
The service prepares application records for a human recruiter. It extracts CV text, identifies exact excerpts relevant to recruiter-approved job criteria, flags unclear information, and offers editable administrative email drafts. AI output is checked against source text, but may still be wrong. Recruiters make all hiring and communication decisions.
Services involved
Google Forms and Drive provide the original responses and uploaded files through the recruiter's authorization. Supabase stores the application, private CV copy, review history, and recruiter sign-in data. The configured AI provider receives extracted CV text and job criteria for analysis. The current deployment uses NVIDIA Nemotron; Gemini is available only when separately configured. If a recruiter explicitly approves an email, Gmail sends it from the connected account. Vercel hosts the application.
Access and security
Recruiter pages require an authorized account. CV copies are held in private storage, and Google access tokens are encrypted at rest. The service does not publish CVs or send candidate emails automatically. No security method guarantees absolute protection.
Retention and requests
Application records remain in RecruitOS until the authorized operator deletes them under the hiring organization's retention instructions. RecruitOS does not currently apply an automatic deletion schedule. Contact the hiring team to ask for access, correction, or deletion, or to learn the retention period that applies to your application. Applicable rights depend on your location and the hiring organization's legal basis.
